Never getting around to close your projects, as you are just too busy to take on new work? Here’s the solution: our brand new option to "Batch Close" for "active" Projects and "Batch Activate" for "closed" Projects.
Before starting to use this new functionality:
- Review the following information carefully!
- Before massive "batch-close-Projects-cleanup-sessions", ensure you have a proper backup of your farmerswife system (e.g. use the "Full Backup" button on the running fw Server application).
- We recommend that when you first start using this feature, to only select batches of 10 Projects; simply to get a feeling for it.
IMPORTANT:
We had been very reluctant in the past, to implement this "batch-close active Projects" functionality. By design of the Project's life-cycle, only certain users are allowed to create Projects. Part of the work-flow and responsibility of these project-owners is, to ensure everything within a Project is "correct" once it's finished, to then close it (Active = No), invoice it (if used) and Archive it, to keep the system slim and fast.
This type of work flow does not apply to everyone.
That's why it is now possible to not only "batch-close active Projects", but we've also implemented that you can now also "batch-activate closed Projects, and these actions are being separately logged.
This new functionality can be used from:
- fw Client > Toolbox > Projects tab.
- fw Client > Advanced Project Search.
Important: Users need to have access to "Server Setup" Permission in order to batch close/archive/open.
Then: Select "Active" Projects to be batch-closed, right mouse click on the selection and use: "Close Projects (Selection: X)" (where "X" is the number of your selected Projects).
Checks:
- If the user can edit the Project.
- If the Project is Invoiced and if the user has "Invoice" permissions.
- If the Project's Division (if licensed) is active.
- It warns and allows to skip Projects on status "Quotation".
- It warns and allows to skip Projects which contains Timereported items.
Or: Select "Closed" Projects to be batch activated, right mouse click on the selection and use: "Activate Projects (Selection: X)" (where "X" is the number of your selected Projects).
Checks:
- If the user can edit the Project.
- If the Project's Division (if licensed) is active.
A "result log" pop-up window is shown to the user performing the action.
Logs per each "batch-close" or "batch-activate" action are created as CSV-txt files within fw Server's "system" folder.
