You can create and save different Permission Profiles for your Users (Advanced/Web). Saved Permission Profiles can be selected by clicking on the "Permission Profile" selector. Otherwise the selector shows "Custom". We recommend to configure and save profiles rather than using "Custom".
Edit/Save/Delete Profiles from the menu next to the "Permission Profile" selector:
- Edit: Opens the Permission Profile window to change the Permissions of the selected saved Permission Profile. Once all changes are done, click the OK button. A dialog will ask:
- Modify Profile? If the changes should be applied to all Users sharing this Profile, click Yes.
- To create a new Profile, click No, so the name will be set to Custom. Click again on the drop down icon and select 'Save As Profile' and enter a new Profile name which will be added to the saved User Profiles selector.
- Web Profile Manager: Go directly to the Web Profile Manager.
- Delete Profile: To delete a Profile, first select it in the selector widget, then click the menu and choose "Delete Profile".
- Save As Profile: Use this option to create a new Profile from an existing one. Follow the explanation of “Edit” above.
- Rename: To rename a Profile, select it, click on the drop down icon and click on Rename.
- Remove Unused: If the saved User Profiles list becomes very long and it is not clear which Profile is in use and which one isn't used any longer, with this option unused Profiles will be removed from the Profile selector.
Edit/Modify a Permission Profile
Once within the Permission Profile window a selector bar at the top shows the different Permission Types and in brackets the License Types as well as the number of currently used licenses out of the total available number:
- Advanced User (Tasks / Bookings / Rates and Tasks / Bookings)
- User (Tasks)
- Web User (Web Only User)
Once a Permission Type has been selected, the access to features and modules can be further limited through the Permissions Settings. Even for the highest level of Super User, toggling on or off relevant settings can limit them to “Read-Only” Permissions.
Super User
Choose between two Permission Types for Super Users:
Tasks / Bookings / Rates
A license typically used for Administrators and Project or Facilities Managers. Gives access to all licensed modules and FULL Permissions to:
- Create Tasks, Bookings, Projects
- Set Rates and Rate Cards, set Budgets and Discounts
- Edit and create new Contacts
- Access the Invoice Module, Object Manager / Server Setup and Personnel Management.
Tasks / Bookings (Super User without Rates Permissions)
The Tasks/ Bookings Super User level will often be used by Schedulers or Coordinators. They will be able to create/modify Projects and Bookings, however they will not be able to see or modify Rates, nor access the Invoice Module
Task User
User with Read-Only Permissions for Bookings and Project related operations, typically used for Editors, Runners or Operators who view their schedules and log their hours or for the Vault (Media Library) Manager. Task Users can:
- Enter own Tasks (scheduled time, not linked to a Project e.g. doctor's visit, client meeting, etc.)
- View Schedules for the entire facility and own Bookings
- Access and edit own Todo's
- Log own Time Reports/Time Reports
- Create Project Work Orders (chargeable operations not booked in the Timeline)
- Enter new Tapes into the Media Library, create labels or generate Tape Reports (requires Media Library module)
- Create Dub Orders (Media Order Module required)
- Search and view all Projects and Contacts (no financial data displayed)
A Task User cannot access any information pertaining to finances or Rates. They cannot access the Invoice Module, nor will they be able to create Projects. But Task Users are able to add Project Extras and then edit the rates for these in order to e.g. add Meals, Courier costs or similar.
Web User (for legacy Web Client module (External Access))
These Web User profiles should not be confused with the current Web Users.
