Project Bookings are always associated with a Project. Select your Project from the pop up menu.
The booked Objects in these Bookings will have Rates and it will add a Time Report to the Booking (if Toolbox Setting > Booking Defaults > Use Time Reporting is enabled).
If the Toolbox > Settings > Booking Defaults > Auto Popup Booking Window On New Booking is ticked the Booking window will now directly open.
The Booking window has two main section:
At the very top you see the Client / Project Name (Number) / Binder Name / Booking Name.
Below appears:
A) The Booking’s Name, Note, Invoice Note, Fixed Price option
B) Any applicable Custom Fields
C) Option to include all time reported Extras in the Fixed Price, Global status of a Booking, Checkpoint status
E) Involved Objects
- To see the Involved Objects the following setting must be enabled: Toolbox > Settings > Server Setup > Show Involved Objects In Booking Window.
- Click on the Object + icon to open the "Select Object" window where you can select one or more Objects to then add to the Booking.
- From 7.0 it's possible to multi-select multiple objects within the Booking Involved window and trigger actions using the right-click context menu. For multi-selection, hold Cmd on macOS or Ctrl on Windows. Double click an Object to add or right-mouse click to "Show Info" of the Object.
- You can change the order of the Objects within the 'Involved:' section of the Edit Booking window by using drag and drop. Any Accessories booked with an Object will be moved with the parent Object.
- After sorting, hit APPLY to commit the new sorting to server.
- A checkbox has been added to the top-right corner of the Booking Involved window, allowing you to expand all Objects with Accessories and Groups in a single click.
- From 7.2 it's possible to force showing only available objects in the Booking Window > Involved Tab, when adding objects.
If "Force Adding Only Available Objects to Booking" is enabled in the Advanced User Permission profile, users will only be able to add available Objects to Booking, excluding those which are not available.
An object is considered not available if:
1. It is booked on a project or task booking with a confirmed substatus.
2. It is booked on a preliminary project or task booking, and the setting “Preliminary Booking Causes Conflict” is enabled (Toolbox > Settings > Server Setup). (If this setting is disabled, preliminary, planning, and canceled bookings do not cause conflicts, and the object remains available).
3. It is booked on a personnel booking that causes a conflict. (If the personnel booking does not cause a conflict, the object remains available).
4. It is booked on a shift outside the booking time, and the server setting does not allow booking outside defined shifts.
5. It is not assigned to a shift, and the server setting does not allow booking when no shift is found.
6. It is booked for maintenance.
- From 7.2 it's also possible to Force Select Involved Objects to Own Division. If the Force Select Involved Objects to Own Division is enabled in the Advanced User Permission Profile, user will only see objects from Own Division, when adding Objects to Booking.
F) Ad-hoc Extras/PredefinedServices
Other information at the bottom are:
- Booking Number (G)
- See who created the Booking and who last modified it
- Invoice Flag if enabled (H), access to Dispatch, Project and Timereport
- Create Reports (M)
From the Booking window it is also possible to access the Booking menu (O).
