Archiving Media Orders

Media Orders are archived independently from Projects. Therefore when archiving a Project, linked Media Orders will not be archived along but remain under Pending, Done or Invoiced status in Toolbox > Media Orders tab.

Once a Media Order has been archived its status changes from Closed, Done/ Invoiced to Archived. The Users will always be able to easily find and restore closed and archived Media Orders, in order to reuse and review the stored data.

Archived Media Orders are not shown in the timeline and do not contribute information to the Financial Reports Designer. Therefore, it is recommended to archive only old Media Orders from the previous year, depending on each workflow.

When a Project-related Media Order is Archived, this new Status will be reflected in the Project.

In Toolbox > Media Orders tab, select Done or Invoiced from the selector widget at the bottom.

Only when selecting at least one Media Order, you can choose the option Archive from the drop-down menu icon at the top left corner.

Only that Media Order will be archived.

To archive more than one Media Order at once, there are 2 options:

1) Multi-select Media Orders, then go to the menu and choose: Archive Selecetd Media Orders.

2) Go to the dropdown of "Invoiced" Media Orders.

Select the option Archive Invoiced Media Orders.

In the upcoming Select Latest Date Entry For Selection window, choose up to which completion date you wish to archive Media Orders. The selected day will be outlined in red on the calendar. And as you click OK, only the Media Orders completed up to the selected date will be archived.

They are now located under the Archived Status in Toolbox > Media Orders tab.

Similarly than with Projects, Media Orders can also be archived from the Advanced Project Search in the top Navigation bar.

Restoring Archived Media Orders

Double-click on the Media Order you wish to restore and, when prompted if you want to Restore From Archives, select Yes.

Choosing Yes will restore and open the Media Order window. Once you have checked the needed information and clicked the OK button, a pop-up window will ask if you want to Archive Media Order. Select Yes to archive it again, or select No if you need the Media Order to be kept under Invoiced in Toolbox > Media Orders tab.

Since 7.4 it's also possible to bulk restore Media Orders. Select one or multiple Media Orders, right click > Restore From Archive (Selection: x)

Since 7.4 Media Orders will be restored to whatever Status they had before (Done/Invoiced)

Note: Archived MOs didn't have the Status Information before. So every MO already Archived before v7.4 restores to Invoiced, just like before.
