Creating Objects

To set up new Objects like Rooms, Machines, Equipment etc, go to the Object Manager > right click > select in which category/type to add the new Object. The window ‘Add New’ will open. 

  1. Give the Object a Name, add a default Sell rate and define if it is a rate per Hour or Day.
  2. Information added to the “Confirm Note” will pop up when the Object is booked.
  3. Information in the Note field can be printed. 
  4. Custom Fields can be created to capture any additional information e.g. Purchase Date, Insurance Details, Upload Contracts etc.


To quickly add similar Objects copy the Object by marking it in the Object Manger > right click > copy. The copied Object will be displayed below the original, open it to modify the details.

When clicking on the Icon a selection of Icons are displayed, choose one to represent the Object.


Adding Time Units

For Time Units you can importantly define the Unit Name (e.g. frames/s) and in the Unit Per Hour field how many Units can be worked on per hour.


Adding Extras - Materials, Services & Expenses

To add Extras, go to the Object Manager > right click > “New in” and then select one of the Extras types: Materials, Services, Expenses. The below screen shots show what can be added to these three respective Object types.  Add price, if tax is to be added tick the Tax box.

Force Unit / Units Name: Add what type of unit is suitable for the material, service or expense added. In the first field the singular unit, and in second the same unit type but in plural, eg disc / discs.

If no Unit is added the default will be Unit / Units.


Adding Object Classes

The window on the right hand side of the Object Manager can be used to view Object Classes. To add an Object Class > right click in this window > New Class

From this right hand window you can also edit the current Object Classes. First click to highlight > right click > Edit (or Remove to delete that Object Class).

Alternatively Object Classes can be added in the same way as Objects: within the Object Manager > right click > “New in” > Classes.

First you must type the name of the new Class (eg Edit Suite) > OK > the Modify window will open.

The Hour/Day rate can be added and an icon set. You can add/delete members of the object class in the “Members” section of the window.

Another way to add members to an Object Class is to drag them within the Object Manager from the list of Objects on the left, to the required Object Class in the window on the right. In this way you can multi select objects (shift click or ctrl/cmd click) and drag them all the class at the same time.


Adding Activities

To add Activities to Users, Objects or Object Classes click on the “Advanced” button within the Modify User / Object / Object Class windows.

In the Advanced window, click on the drop down icon next to “Activities” > New Activity.

    

Add the name of the Activity, add Buy/Sell Rate and select if this rate is by Hour or Day. Change the Activity Icon.

It is also possible to specify if this should be the “Default” Activity for this Object/Object Class.


Adding Accessories

If for example an Edit Suite is more or less always booked with the same machine, it is possible to make this machine (object) an Accessory to the Suite (also an object).

To add Accessories to Users, Objects or Object Classes click on the “Advanced” button within the Modify User / Object / Object class windows.

In the Advanced window, click on the dropdown icon next to “Accessories” > this gives the choice of adding an Object or an Object Class as an Accessory.

If Object is selected the Object Browser will appear > Click on the Object that should be the Accessory.

If Class is selected the Class Browser will appear > Click on the Class that should be the Accessory.

The Accessories added will be displayed in the Advanced window of the User or Object.

More than one object can be added as an accessory to the same Object.

If in some cases the Accessory should not be booked, the Accessory can be removed from the Booking.
